Refund policy

PAYMENT SCHEDULE

Provisional reservations may be held for 14 days, after which time Urban SAFARI Africa (Pty) Ltd is

required to either release the space back to properties for resale or confirm the reservation by paying

a non-refundable deposit. As such your payment schedule is as follows:

• Deposit is calculated at 30% of the total reservation value; and - Balance of Payment is due 60 days prior

to arrival.

• Comprehensive travel and medical insurance is required by each client. The

• following exceptions apply:

• Should any of the suppliers’ conditions vary from the above.

• Should bookings be made less than 121 days prior to arrival in which case full payment is

required immediately.

In these instances, we will stipulate on confirmation if any additional / specific deposits are required by

suppliers and if these are non-refundable.

• Up to 8 weeks before departure, a 30% non-refundable deposit is required to secure your

booking enquiry.

• Any booking made within 8 weeks of a departure will require a full payment of booking fee in order to

confirm a booking for the proposed date of departure.

CANCELLATION POLICY

• Any action of cancellation up to 8 weeks before departure will forfeit the deposit amount.

• If one’s cancellation is made after the due date for full payment of your booking fee, charges will be in

accordance with the below table:

• Only a written notification of a cancellation will be accepted.

• Should one fail to join as per the agreed-upon date and time, no refund or re-schedule shall be made.

2 5INSURANCE

• It is a condition of booking, and the sole responsibility of each guest, to ensure that they carry the correct

comprehensive travel and medical insurance to cover their travel, as well as any dependents when

booking with Urban SAFARI Africa (Pty) Ltd. This insurance should include cover in respect of, but not

limited to, the following eventualities:

• Cancellation or curtailment of trip

• Emergency evacuation expenses

• Medical expenses

• Repatriation expenses

• Damage/theft/loss of personal luggage, money and good

• Urban SAFARI Africa (Pty) Ltd., including their representatives, employees and agents, will take no

responsibility for any costs, losses incurred or suffered by the guest, or guests dependents or traveling

companions, with regards to, but not limited to, any of the above mentioned eventualities. Guests will

be charged directly by the relevant service providers for any emergency services they may require, and

may find themselves in a position of being unable to access such services should they not be carrying the

relevant insurance cover.

• If for any reason you cancel your booking close to departure date, you could lose the entire cost of

your trip. Should you have to leave before your holiday is finished, we cannot refund you the cost of the

portion of the package you do not complete. In the eventuality of this happening, insurance may

cover you, depending on the reason for cancellation and curtailment.

• If you anticipate an insurance claim upon your return, be sure to document as accurately as possible any

accident, injury or loss. Doctor’s notes and police reports will aid any claim.

PERFORMANCE, INDEMNITIES & LEGAL JURISDICTION

• The parties’ performance under this Agreement is subject to acts of God, war, government regulation,

terrorism, disaster, strikes, civil disorder, curtailment of transportation facilities, restriction on food,

beverage or other supplies or any other emergency of a comparable nature beyond the parties’ control,

making it impossible, illegal or which materially affects a party’s ability to perform its obligations under this

Agreement. In order to terminate this agreement under this provision, the terminating party must provide

written notice to the other party within five (5) days of the occurrence of any of these events. In the event

of termination by the Company under this section, the Company shall refund all deposits and/or

prepayments made by the Client within five (5) days of the notice of termination.

• To the extent permitted by law, the parties will defend, indemnify, and hold each other and their parents,

subsidiaries, directors, officers, agents, representatives, and employees harmless from all claims, losses,

and liabilities (including reasonable attorneys’ fees) to the extent caused by the other’s breach of this

Agreement; failure to discharge its duties and responsibilities set forth herein; or the negligence, gross

negligence, or wilful misconduct of the other or its officers, employees, or authorised agents in the

discharge of those duties and responsibilities. In no event shall either party be liable for any special,

punitive, lost profit, or consequential damages, regardless of the form of action, whether in contract,

in tort, including negligence, by statute or under any quasi-contractual theory of liability, even if a

party has been advised of the possibility of such damages.

• Please be aware that, during your participation on this tour, certain risks and dangers may arise,

including, but not limited to, the hazards of traveling in undeveloped areas, travel by automobile or

other means of conveyance, the forces of nature, political unrest and accident or illness in remote

regions without means of rapid evacuation or medical facilities. Also be aware and clearly understand that

Urban SAFARI Africa (Pty) Ltd., its staff members, associates, agents, or their suppliers, will not have

liability regarding provisions of medical care or the adequacy of any care that may be rendered. It is

understood that Urban SAFARI Africa (Pty) Ltd., its staff members, associates, agents, or their suppliers

will use their best efforts to ensure that all adequate measures are taken to avoid such occurrences. By

making payment to us you confirm that you have accepted the terms and are voluntarily participating in

these activities with the knowledge of the dangers involved and hereby agree to accept any risks.

• As lawful consideration to the agreement with Urban SAFARI Africa (Pty) Ltd., its staff members,

associates, agents, or their suppliers, to participate in such trips and activities, you hereby agree that

you will not make a claim against Urban SAFARI Africa (Pty) Ltd., its staff members, associates,

agents, or their suppliers from all claim actions and demands that you may have for bodily injury, death

or property damage arising from your participation in a tour with Urban SAFARI Africa (Pty) Ltd.

Acceptance of the Tour Contract will serve as the release of Liability and Assumption of Risk agreement.

This agreement is binding on your heirs, legal representatives and assigns. If any portion is

unenforceable, the remaining portions shall remain in full force and effect.

• This agreement is made subject to and shall be governed by and construed according to the laws

of the country of which the Urban Safari takes place.
